Setting up a new company can be an exciting time for your clients, until they realise all the compliance admin that needs to be done. It can be incredibly daunting, especially if they’re trying to form the company themselves or don’t have the right guidance around it.

HMRC’s and Companies House's websites can be a maze at the best of times too. All sorts of issues can arise when leaving clients to their own devices – from uploading the wrong file types to inputting the wrong address. That’s why you, their accountant, usually takes the helm over these company secretarial tasks. However, forming companies usually means a lot of extra admin on your plate. So, while your clients may be over the moon, full of hope and anticipation for their new business, you’ve likely got a hundred and one other tasks that need your attention.

While sending clients step-by-step instructions in an email on how to form a company themselves can be helpful, it’s likely that they’ll still encounter bumps in the road that require further guidance. Afterall, you’re likely their sole source of knowledge when it comes to compliance and adhering to regulatory requirements.

Try out a company secretarial software

So, how can you smash through this extra admin, without decreasing the quality of your services or eating into your free time? Company secretarial software makes company formations simple to register with HMRC. Our company secretarial software, BrightCoSec, has direct integration with HMRC and Companies House. Just add the client’s company name, type, people, registered office, SIC codes, objects, and other relevant information.

The software then forms the company, registers it on HMRC and does the first board minutes. When its formed, they’ll put it back into the software for you, email you the Certificate of Incorporation, and pop it in your cloud library so you can access it from anywhere, at any time. If you want to download a company into the software – no worries – just use our integration with Companies House to do so.

This means you get to skip all of those nitty gritty admin tasks involved with forming companies for clients as you’ll have a smooth and seamless system that does it for you instead.

Send CS01s in just two clicks

As well as forming companies, BrightCoSec lets you send confirmation statements to HMRC in just two clicks. While this only needs to be done once a year, keep in mind that the longer your client list is, the more time it’ll take to get through paperwork.

Once you’ve got authority from the client and you’re ready to file the confirmation statement, just go to Filing > CS01. Once you’re happy with everything, just click submit – and that’s it! You can preview it beforehand if you like, or download an encrypted PDF of the CS01 for safe keeping.

We’ve also got a CS01 checklist that you can email to clients through the system. This means you don’t have to write out an email for each company. The checklist has all of the information you need, and if your clients want any corrections to be made, they can do so in the text boxes within the checklist. Once they’re happy with it, they can sign it at send it back to you. You can then monitor the changes in the email, and any changes made will show up in the system.

With company secretarial software, you can be confident that your clients' companies are formed correctly, and their CS01s are filed accurately and on time, giving you more time to focus on more high-value projects in your firm.
