  1. Colleagues are not completing their timesheets – if you can’t accurately capture the data in the first place, what chance have you got? A modern Time and Project Management system should encourage users to complete their timesheets and expenses by being intuitive to use, easily accessible and available via a mobile App. You’ve then got a solid foundation to build on
  2. You’re surrounded by paper – Expense Forms, Receipts, Purchase Order Book, copies of Proposals, Sales Invoices awaiting approval etc., your Time and Project Management system should eliminate all of this and accelerate your move towards a paperless office
  3. You’re struggling to produce timely data – are you having to wait until 2 weeks after month end to produce your management reports? You shouldn’t have to. Real-time data collection and comprehensive reporting should be at the heart of your solution allowing you to generate your outputs in minutes rather than hours or days
  4. You’re spending more time duplicating data than analyzing it – you might be rekeying timesheet data into a master spreadsheet, entering new customers manually from either your CRM or accounts system, rekeying invoices values once or even twice? If this sounds familiar, you could really do with a system that manages your Projects from inception to completion or integrates with your existing accounts platform.
  5. Billable items are getting missed – if there’s no rigorous correlation between time/expense recording and invoicing, things can slip through the net. Comprehensive Work In Progress management and frictionless invoice production should then be on your radar for your next system 
  6. You keep having to ask for information or you’re being constantly asked for information – nominated users should be able to self-serve the information they need to do their job from the Time and Project Management and consume it in a format that easy to interpret and act on
  7. Projects going over budget without realizing it – many businesses don’t realise that a Project is over budget until well into the following month when the data has been collated and analysed. Your new system should allow for early warning of overruns via proactive alerting and enable key people to move from managing in the ‘rear view mirror’ to the ‘near view mirror’
  8. Your cashflow could be better – by accelerating the throughput of time/expense recording to invoice production, invoices get issued earlier and therefore get paid quicker than waiting for month end processes to be completed. If your new system has credit control functionality baked-in, then your debtor days will also be positively impacted
  9. Project-related Supplier Invoices come as a surprise – generally this happens because you don’t have a robust Purchase Order Management system in place. If committed costs can be shown against Projects at the point of Purchase Order generation, Sales Invoices can then potentially be generated earlier, without waiting on the Supplier Invoice. At the very least there should be no nasty late surprises to take your Projects over budget
  10. I don’t know if I have the capacity to take on that work – by forward loading your resource in your Time and Project Management system you should be able to quickly identify under-utilisation or bottlenecks that can inform your decision when taking on extra work or advising of lead times. It should also be possible to use this information to drive recruitment timing
  11. It’s not Cloud based – with many businesses wanting to reduce IT spend, increase accessibility whilst maintaining security, Cloud software is now seen as almost obligatory. When coupled with the move to more flexible working and the desire to collaborate from multiple devices in diverse locations, Cloud is the natural choice
