What is data backup?

Today is World Backup Day, a day celebrated to remind people of the importance of backing up their data. Backing up data is a process payroll processors must go through to keep their payroll data secure and ensure it’s not lost. It involves making copies of your payroll data and saving it to a different location to prevent it being lost in the event of a server crash, theft or ransomware attack.

To celebrate World Backup Day here at Bright, we’re going to talk about the importance of backing up your payroll data and how you can use intelligent automation to back up your files quickly and securely.

Manually backing up payroll data can be a very time-consuming process, which is why investing in a cloud-based backup is so popular, especially if it automatically saves your files for you as you work.

One reason to get a cloud-based backup system for your firm is that it’s less expensive than keeping on-premises servers that can take up a lot of space. Instead of having to buy and look after hardware, cloud-based backups store all your data in a remote location. No more having to worry about payroll files becoming corrupt or USBs getting robbed – everything’s taken care of.

The Importance of a payroll backup

As an accountant, it is your job to make sure your clients and their employees are paid on time, every time. You also have to keep up with constantly changing government legislation to ensure payroll compliance. If you do manually backup your payroll data, there’s always that risk of losing it. What if you have a busy day and forget to make a backup? What if you click a link or download a file you shouldn’t have, and your computer gets hacked? All it takes is a simple case of human error, and all your priceless data is gone. The whole reason behind backing up your data is that you have a layer of security, should you ever find yourself in a situation where you may have lost payroll data.

Every time you process payroll for a client, you’re handling very sensitive employee information. One mistake could lead to countless employees having their personal information exposed. This is why cloud payroll solutions are being used by so many accounting firms today. If employee data is exposed to unauthorised users, this can result in a data breach, which can lead to your firm getting GDPR penalties and fines from the Information Commissioner’s Office (ICO) or Data Protection Commission (DPC).

How can I ensure my clients’ payroll data is secure?
