The 2023/24 tax year is edging closer, it’s time to start thinking about your current payroll software, and if you should consider making a change. Deciding whether to make the switch will come with some questions like how much time will it take, how to transfer your data, and how to decide which provider to switch to.

Researching the different payroll software on the market can take a lot of time. Trying to come to a decision will involve viewing demos, listening to sales pitches, and comparing the differences between the providers. By now, you’ve probably heard of Bright’s payroll software BrightPay, and its time-saving features. But if you haven’t, don’t worry. This blog will discuss all you need to know about switching to BrightPay.

Migrating your data to BrightPay

One of the biggest concerns when switching payroll software is how much work will you need to put in to migrating your data. You might be worried that you don't have time to spend transferring your clients’ payroll data to a new software. However, transferring employee data can be easier than you think.

BrightPay’s desktop-based payroll software currently offers direct import options for 12Pay, HMRC Basic Tools, Iris PAYE-Master, KeyTime, Moneysoft, Qtac and Star. If you are switching from a different provider, you have the option of importing employee data using a CSV or FPS file.

Safe and secure payroll

Keeping your clients’ data safe will be one of your top priorities. If you’re unfortunate enough to be a victim of a cyber-attack, your device is stolen, or a natural disaster destroys your device, you could lose your clients’ data and not be able to get it back. The last thing you want is to have to explain to clients that payroll won’t be processed in time and their employees’ has been compromised.

By switching to a payroll software like BrightPay, you can have peace of mind that this will never happen. When you use BrightPay’s cloud payroll software, your clients’ payroll data will be automatically saved to the cloud, as you work. If you choose to use the desktop version of BrightPay, you can use its cloud extension, BrightPay Connect, alongside it and your payroll data will be saved to the cloud every 15 minutes or each time you close out of an employer file. BrightPay’s online payroll software and BrightPay Connect are hosted on the super-secure, industry-leading Microsoft Azure platform.

If you don’t use an automatic cloud backup when working on your client’s payroll, you’ll need to manually back up the data to an external hard drive or third-party file hosting service. Othe features of BrightPay and BrightPay Connect that help keep your clients’ data safe and secure include:

  • Automatic payslip distribution through employer and employee portals
  • The ability for clients to run their own payroll reports
  • Two factor authentication
  • Integrations with HMRC, accounting software and pension providers

Keeping up to date with the latest payroll features

If you were a photographer, you wouldn’t buy a new camera that wasn’t as good as or better than your current one. Having the best camera and the best lense won’t necessarily make you a better photographer, it can however help you produce better photographs. The same goes for processing payroll. When you’re considering switching payroll software, you need to consider if your next payroll software has the latest payroll features, can help you save time, boost efficiency and provide a better service to your clients.

BrightPay stays up to date with all the latest payroll features such as integration with 12 different accounting software, making sending your payroll journal to your general ledger quick and easy. BrightPay’s desktop-based payroll software has an integration with direct payment platform, Modulr. Modulr allows you to pay employees, subcontractors and HMRC directly through the software. Payments are processed 24/7, 365, in as little as 90 seconds, taking the stress of last-minute payments off your shoulders.

When should I make the switch?

When you decide to make the switch, the timing of your move is important. If you decide to make the switch at the beginning of the new tax year, then all you'll need do in BrightPay is import employee information. However, if moving mid-year, two things will be needed to be transferred - employee details and their mid-year cumulative pay information.
