When looking at how something like cloud or not cloud it helps to looking at a wider view of service provision. Questions of how does the service provide support the service offered? How many clients are using the service? How many serious incidents have occurred on the last year? How many outages have occurred? What are the complimentary services offered? How do they view the integrated nature of technology. What is the total cost of ownership? Looking beyond the price can provide clearly longer terms benefits.

I see this on a regular basis. With Office 365 often just relying on a password for protection. Someone has already mentioned multi factor authentication. Other measures can be implemented such as a DMARC to prevent email impersonation and with DKIM emails cannot be interfered with.
Under GDPR there is a great emphasis on the data processor to put all necessary measures in place so it really is about doing more and more.

Definitely get your domain registered on all the available business related directories. This helps drive traffic.

File Explorer itself is fine it's how you handle the data. Scanning your data regularly helps to build confidence in what you are storing.

I understand that the Accountant needs to have SAGE 50 Client Manager to gain access to the clients data. Here is the link to the SAGE online help file

Even with strong passwords online accounts can still be compromised. The key to keeping them secure is second factor authentication or multi-factor authentication. In addition some SaaS apps will provide restrictions based on location. I know this is the case with Office 365 but not sure on Xero.

A lapsed certificate makes the transmission insecure. So it is not a good idea to use a site like that.
