Access Dimensions goes paperless with new module

Access Accounting has created a new document management module to its complement flagship Dimensions system. John Stokdyk reports.

Access Document ManagementSE (ADMSE) is derived from the ImageIT document management system developed for Dimensions by Armstrong Consultants, which Access acquired last year.

ADMSE is closely linked to the FocalPoint web portal environment, which was developed by Access reseller Armstrong Consultants before it was acquired by Access last year. The rebranded paperless system can work in tandem with Dimensions and FocalPoint, or run as a standalone paperless system.

Documents such as invoices can be scanned on receipt and attached to a record or transaction in the accounting system. According to Access Accounting managing director, the paperless system gives instant visibility of documents across the organisation.

Armstrong first introduced its paperless system to fill a gap in the market for a relatively straightforward tool that could link to accounting systems. Because it is so closely tied into Dimensions and FocalPoint, the new paperless module would cost less to implement than a full featured system such as Invu, the developer said.

Access Technology Group chief marketing officer Mark Boulton explained that Armstrong's FocalPoint and document management tools were one of the reasons Access acquired its reseller. "ADMSE is a sign of that plan coming together," he said.

Some development and testing work has taken place over the past few months to ensure the document management module is suitable for the wider Access marketplace and to integrate it with all of the Dimensions modules. "It's almost like version 2 of the product," Boulton said.

While there is a clear environmental benefit from using less paper, Access did not back its paperless module by trumpeting its green credentials - that is more the focus of its Accounting for Carbon Emissions (ACE) module. "We have six offices and still post a lot of paper around, so obviously a technology like ADMSE will reduce that," Boulton said.

"We'll use ACE to measure the impacts, but the vision we have around ADMSE is more about its efficiency as a workflow tool."

Access Document ManagementSE is priced as any other module for Dimensions and starts from £800 for a system that could be accessed by all the users on a Dimensions network.
